RoyalGate Energy Fraud Policy Summary

A fraud policy is a critical tool in communicating RoyalGate Energy’s stance and processes in respect to fraud and how it will be dealt with. Our fraud policy is to raise awareness among staff by explicitly defining actions that constitute fraud and ensuring that all employees and third parties are aware of what is and is not acceptable.

We aim to communicate to all employees, contractors and suppliers the company’s fraud policy. This is an economical way of indicating that the fight against fraud is endorsed and supported at the most senior level, to lessen the risk of our business becoming a victim. The development of an anti-fraud culture is a crucial part of our fight against fraud.

The immediate aftermath of the discovery or allegation of fraud can be a difficult time. A document that sets out responsibilities and procedures to be followed can be invaluable in ensuring the right decisions are made. This is particularly important in relation to the preservation of evidence and on how to deal with the individuals involved.

 

Anti-bribery and Anti-corruption Policy Summary

Bribery definition: The receiving / offering / giving / providing / requesting / accepting of a financial or other advantage, in order to seek to induce a person or to induce a person to give improper assistance in breach of their duty, or to otherwise influence someone with the underlying purpose of obtaining / retaining business, or an advantage in the course of business. ‘Bribery’ for this purpose includes so-called ‘facilitation’ or ‘grease’ payments, defined as non-discretionary payments made to government or public officials to speed up routine administrative processes, even if such payments are nominal in amount.

Corruption definition: The misuse of entrusted power / breach of duty for personal gain.

RoyalGate Energy is committed to applying the highest standards of ethical conduct and integrity in its business activities. Every employee and individual acting on the company’s behalf is responsible for maintaining our reputation and for conducting company business honestly and professionally.

We take a zero-tolerance approach to bribery and corruption and are committed to acting professionally, fairly and with integrity in all our business dealings and relationships wherever we operate.

Employees, agents or other service providers are required to avoid any activity that might lead to, or suggest, a breach of this policy. You should raise any concerns with us as set out in our policy.

We and our service providers are expected to keep financial records and have appropriate internal controls in place which will evidence the business reason for giving and / or receiving payments from / to third parties.

The prevention, detection and reporting of bribery and other forms of corruption is the responsibility of all those working for us, or supplying services to us, or under our control.

We promote employee awareness of, and compliance with, company policies against bribery and corruption through appropriate dissemination of our own procedures (including disciplinary procedures) policies and training programs on induction and subsequently.

We adopt management control systems that discourage bribery and corruption, and adopt financial and tax accounting and auditing practices that prevent the establishment of ‘off the books’ secret accounts or the creation of documents which do not properly and fairly record the transactions to which they relate.

We do not make illegal or inappropriate contributions to candidates for public office or to political parties or to other political organizations.

We raise awareness of the need to combat bribery and corruption with our business partners by publication of this policy and (where appropriate) relevant contractual provisions and support initiatives designed to reduce the risk of bribery and corruption.

Prevention of Harassment Policy

All personnel have the right to enjoy professional working relationships with each other and with management. Harassment of any group or individual will not be tolerated in the workplace. Similarly workplace bullying will not be condoned in any circumstance. Differences of opinion and of personal background will be respected.

We shall ensure that all personnel have the right to report a harassment incident to their supervisor, manager or human resources; all harassment complaints are treated seriously, empathetically, quickly and confidentially; complaints are investigated fairly and impartially, individuals who have made a complaint will not be victimized; witnesses to an incident will not victimized for their involvement in a complaint; and complaints will be settled within the workplace wherever possible. The responsibility for application of this policy rests with us all.
